Transformer Lab ("we," "us," or "our") is committed to protecting the privacy and security of your personal information. This Privacy Policy outlines how we collect, use, disclose, and safeguard your data when you use our automated research application, platform, and related services (collectively, the "Services").

This policy is designed to comply with Canadian privacy laws, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

1. Information We Collect

We collect information directly from you, automatically through your use of our platform, and through user-provided research inputs.

A. Information You Provide

  • Account Data: Name, email address, password, and billing information (processed securely via our third-party payment providers).
  • User Research Content: Datasets, PDFs, text prompts, API keys, documentation, model files, and other research materials you upload or integrate into Transformer Lab.

B. Information Collected Automatically

  • Agent Telemetry & Performance Data: Metadata regarding research workflows, execution success/failure rates, error logs, and system recommendations generated during agent operations.
  • Usage & Device Data: IP addresses, browser types, operating systems, and interaction logs.

2. How We Use Your Information

We use the collected information for the following purposes:

  • Providing the Services: Processing your research prompts, orchestrating automated workflows, and managing fine-tuning operations.
  • System Optimization & Agent Improvement: Analyzing aggregated, anonymized telemetry and agent performance metadata to improve Transformer Lab's core agent logic, UI, and tooling. We do not sell your personal data or use your confidential research datasets to train publicly available base models.
  • Account Management: Handling billing, customer support, and system updates.

3. How Data Is Handled by AI Models & Third-Party Services

To execute complex AI research tasks, Transformer Lab interfaces with external processing partners:

  • Third-Party AI Inference Vendors: Your prompts and context documents may be transmitted to external Large Language Model (LLM) providers (such as OpenAI, Anthropic, and other open-router LLM infrastructure partners) solely to generate execution outputs for your sessions.
  • Academic Databases & Search APIs: The application queries external academic repositories and scientific indexing APIs (such as OpenAlex) to retrieve research literature on your behalf.
  • Analytics Providers: We utilize product analytics services (such as PostHog or Mixpanel) to analyze platform performance and user interface behavior.

Note: Third-party service providers are contractually limited to using your data strictly for the performance of services requested by Transformer Lab.

4. Data Storage and Cross-Border Transfers

Transformer Lab is based in Canada. However, our primary cloud infrastructure, databases, and application servers are hosted in the United States (AWS US East region).

By using our Services, you acknowledge that your personal information and uploaded research materials will be transferred to, stored, and processed in the United States. While in the US, your data may be subject to local law enforcement and national security access requests under US law. We ensure all cross-border transfers maintain a comparable level of administrative, technical, and physical safeguards.

5. Security & Data Retention

We implement industry-standard encryption protocols (in transit and at rest) to protect your uploaded datasets and account details.

We retain your personal information and uploaded datasets only as long as necessary to fulfill the purposes for which it was collected, or to comply with legal obligations. You may request the deletion of your account and associated project datasets at any time.

6. Your Rights Under Canadian Privacy Law

Under PIPEDA and applicable provincial privacy laws, you have the right to:

  • Access the personal information we hold about you.
  • Request corrections to inaccurate or incomplete personal information.
  • Withdraw consent for optional data processing at any time (subject to legal or contractual restrictions).
  • Request the deletion of your account data.
